Does the software provide the ability to enable workflows and automated alerts for variance notification to accountable end-users?
There are a number of ways an owner can be notified of budget variances. Reports can be created and be color coded to reflect the severity of the variances. Dashboards can be created to be front and center when a user logs in to reflect the current state of any variances. In addition, if variance review is part of a workflow process, users can be automatically notified of an out of tolerance variance.
Does your product generate reports automatically based on pre-defined schedules and can they be posted to a portal or emailed for user review?
When you want to ‘run’ or distribute reports like a month end book of reports, Prophix will automatically distribute those reports on a scheduled basis in ‘Report Binders’. These report binders are distributed in PDF format.
Does the proposed software system have a workflow process that enables the budgeted data to be routed for approval and locked upon completion? If so, please explain.
Yes. Workflow is a core strength of the application. Workflows are created and edited, using point and click and select from a list of activities. The administrator creates a project using the “new” button, lays out the steps needed for the workflow, then selects the type of task, owners, approvers, due dates, templates and so forth, from the lists of users and templates that pop up within the workflow manager. The tasks then automatically deploy to the user’s home screen, either immediately or once they become available. The interface is intuitive and can be laid out in more of a list or task style or graphically showing the various dependencies. Multiple workflow processes can be in play at any point in time. The last step of a completed workflow could be to set the budget to ‘read only’, locking it down from further change.
Can your software generate reports by user, based on their security access using a single report template?
Yes. ‘Report Binders’ will recognize the security of the recipient and adjust the report or reports to only what that recipient has permission to see. This level of access is determined by the Prophix Security Manager Application.
With the Excel-based budget planning, it would take probably take three to four months. And a lot of that time was spent on manipulating the data in Excel and getting it to roll out properly. When we went to Prophix, we were able to trim that down to more of a two-and-a-half month cycle, where most of the time was spent on analysis and actually getting into the data and understanding what we were seeing
