Using Offline Data Entry
PROPHIX Offline Data Entry allows users to enter data without logging into PROPHIX. The only requirement is Microsoft Excel. As the administrator, you will create the budget template in Template Designer and send the template out via P4SS. End users will receive the budget template as an e-mail attachment from P4SS. When end users are finished with their budget, they will e-mail this back to administrator and the data will be incorporated into the P4SS database.
Benefits of using the Offline Data Entry tool:
- Accommodates end users who are resistant to move away from Excel
- Cost-effective solution when users are only using P4SS once a year during the budget season; adding offline data entry users is more economical than adding other user types in P4SS
- Reduces end user training
- Accommodates remote users
Setting up Offline Data Entry:
- In Business Process Manager, select the Insert menu and than click Offline.
- Type a description for the process.
- Next to the Distributor box, click Browse... and select the user that will act as a distributor. This user will receive reply e-mail messages.
- Next to the Template Name box, click Browse... and select a template file you want to distribute to the offline user(s).
- Type in subject and body text for the e-mail message in the text boxes provided.
- Under the Distribution List, click Edit List..., and select the users to be receiving the offline templates.
